Frequently Asked Questions

You must have a current Campus Rec Membership (and maintain the membership) to purchase and use sessions.

Sessions will not be refunded or credited due graduation, separation from the University, or an expired membership. Sessions cannot be transferred to another individual. See the Memberships page for more information.

Click on the program/service you are interested in and complete the Interest Form. Following all instructions on the Interest Form and providing as much availability as possible helps the process move more quickly.

We work with multiple systems for the Interest Forms, payment, and scheduling, so emails are sent to you manually and may take a few business days. During breaks, staff hours may be reduced. We work as promptly as we can to assign trainers. If you want to check the status of your request, please email [email protected].

We use your preferences and availability to assign trainers. If we cannot meet your preferences or do not have a trainer with availability that matches yours, we will reach out to you to see what we can make work.

Personal Trainers
Personal Trainers are assigned for Personal Training and Group Training. Each has passed a certification exam and maintain a current nationally-accredited personal training certification. All Personal Trainers also work as Fitness Specialists.

Fitness Specialists
Fitness Specialists are assigned for Instructional Sessions, Form Checks, and MyFit programs. They have completed specific upper-level Exercise Science courses and/or have completed the Personal Training Education Prep program with Campus Rec, and have displayed sufficient knowledge to work with clients. They are preparing to take a certification exam and all programming is reviewed by the Fitness and Wellness Professional Staff.

Main differences:

  • Lower cost
  • Works around your schedule
  • Location flexibility

It is a custom program you are taught and then complete on your own time, as opposed to scheduling workouts with a trainer. We can also make programs that you can complete at home or your office, whether you have any fitness equipment or not.

Paperwork for MyFit, Personal Training, and Group Training will be emailed with the payment information or the scheduling link. There is no paperwork needed for Instructional Sessions or Form Checks, but we ask you to communicate any medical or health concerns at the start of the session.

Health History
The Health History provides the Trainers with pertinent medical information needed to assure they are providing the safest and healthiest programs for each client. They are certain medications, health conditions, etc. that can impact what or how they are able to provide training.

For individuals that are currently active, if there are no sign or symptoms of cardiorespiratory issues, typically you will be able to proceed based on your current activity level. For individuals that have sign or symptoms of cardiorespiratory issues, we may require approval from a physician or other relevant health professional (such as a physical therapist) before beginning to assure we are following required steps. For MTSU Students, Health Services can often provide this approval.

We follow all HIPAA Standards, so your medical information is kept confidential and only utilized for purposes directly related to your training program.

New Client Training Form
This paperwork is for you to start thinking about the topics that you and trainer will discuss during the Intake session. It also helps your Trainer see what areas you may want to focus on and have some resources pulled in advance.

These forms are also kept confidential, and only those who need to view it (your trainer and the Professional Staff) have access. Though it is not medical, it is kept with the Health History and is protected under the same HIPAA guidelines.

For all of our programs, please be mindful that most of our Personal Trainers and all Fitness Specialists only come to the Rec Center when they have clients, so we ask you be considerate of their time, as we will be with yours.

We do understand that emergency happen and will always do our best to accommodate your needs, though we ask you make every attempt to avoid repeated cancellations. The same expectation is held for our Trainers – cancellations will only be done when unavoidable.

Instructional Sessions and MyFit
If you have the contact information for the Trainer you are working with, it is best to contact them directly. We ask for at least a 24-hour notice.

If you do not have the Trainer’s contact information and it is…

  • more than 24 business hours prior to the sessions, email [email protected] or call 615-904-8473 (be sure to leave a voicemail if no one answers).
  • less than 24 business hours prior to the sessions call the Campus Recreation Membership Office at 615-898-2104 so they can let the trainer know.

The trainer will reach out to reschedule.

Personal Training
The formal protocol is that sessions cancelled with less than 24-hour notice and no-shows result in the loss of that session. If either of these occurs, your trainer will communicate further. Emergency situations may be an exception.

Group Training
The same protocol is in place as for Personal Training.

Additionally, if one group member is not at the session, they will forfeit that session. We strongly recommend that group members communicate in advance and decide if they would rather reschedule if a group member knows they will not be there.

Our Personal Trainers and Fitness Specialists can provide general nutrition education and where to find valid and reliable resources. It is outside a personal trainer’s scope of practice to provide meal plans, specific nutritional numbers, dietary specifics, supplement recommendations, or any related nutrition information.

Individuals seeking more in-depth nutrition information or dietary information specific to a health condition will want to work with a Registered Dietitian (a licensed medical professional with a degree in nutrition). Please note that this is different from a certified nutritionist. Nutritionists should never provide more than basic, general nutrition information.

MTSU Students have access to a Registered Dietitian for free through MT Dining. For Faculty/Staff or others seeking nutrition information, you can email [email protected], and we can provide recommendations for RDs in the area.

Any other questions can be sent to [email protected] and they Fitness & Wellness Staff will respond in a timely manner.
